Microsoft Office 365 Changes and Administration of the hawaii.edu Microsoft Domain

Microsoft is retiring its unmanaged Office 365 services at the end of 2025. Learn more about their changes on the .

Due to these changes by Microsoft, ITS is assuming administrative control over the unmanaged hawaii.edu Microsoft domain. This will allow us to achieve several critical objectives: gain comprehensive administrative control over the domain, eliminate security concerns present with an unmanaged Microsoft domain being affiliated with the University, and allow for individual campuses and the University as a whole to benefit from system-wide service and licensing agreements with Microsoft. As part of this change, ITS will be deprovisioning all accounts that exist in the unmanaged hawaii.edu Microsoft domain on Monday, 11/03/2025.


What is the hawaii.edu Microsoft domain?

The hawaii.edu Microsoft domain is a Microsoft 365 tenant that was created by Microsoft and has operated without any involvement or administration from ITS or the University since its creation. As a result, ITS had recommended against users creating a Microsoft account with their @hawaii.edu. The unmanaged domain provided access to various Microsoft services that were often utilized by individuals on an ad-hoc basis. The services available through this domain generally included:

  • Microsoft Office Online Applications: Web-based versions of applications such as Word, Excel, PowerPoint, and OneNote.
  • OneDrive: Limited cloud storage for files and documents.
  • SharePoint: Collaboration and document management capabilities.
  • Microsoft Teams: Communication and collaboration platform.

Timeline to deprovision existing Microsoft accounts on the hawaii.edu Microsoft domain

ITS will be deprovisioning accounts created on the unmanaged hawaii.edu Microsoft domain on Monday, 11/03/2025. Users will be unable to access deprovisioned accounts on the domain after this date and all data stored on the accounts will be permanently lost.

Important note - you will not be impacted if:

  • you are currently utilizing Microsoft Services under a campus-specific contract; or
  • you are using installed Microsoft applications purchased through the (Office, Publisher, Visio, etc.); and
  • you are NOT utilizing services via the unmanaged hawaii.edu Microsoft domain

How to check if you are impacted

Only users who have accounts in the unmanaged hawaii.edu Microsoft domain will be impacted. ITS will be sending email notifications to 糖心Vlog官方 Users who have accounts on the unmanaged hawaii.edu Microsoft domain with more information.

Users can also determine if they have an account in the unmanaged hawaii.edu Microsoft domain and may be impacted by this change by following these steps:

  1. 糖心Vlog官方 the Microsoft sign-in page at
  2. Enter your hawaii.edu email address and click Next.
  3. If you receive the message “This username may be incorrect. Make sure you typed it correctly. Otherwise, contact your admin.” when trying to login, you do not have an account in the unmanaged domain and need not take any further action.
  4. If you are instead asked to enter a password, then you likely do have an account in the unmanaged domain and may be impacted.

What should impacted users do?

Impacted users who have accounts in the unmanaged hawaii.edu Microsoft domain will have until Monday, 11/03/2025 to download or export any data currently stored on their domain accounts in order to avoid data loss. Users who are using their unmanaged hawaii.edu Microsoft domain account to log into a Windows device should update that device to log in with a local account or a personal Microsoft account, instead.

糖心Vlog官方 users who may have been using services available at the unmanaged Microsoft domain can transition to using the equivalent or enhanced services offered to all active 糖心Vlog官方 users, such as the following:

  • Document Creation and Collaboration: Google Docs, Sheets, Slides (alternatives to Word, Excel, PowerPoint)
  • Cloud Storage: Google Drive (alternative to OneDrive)
  • Collaboration and Intranet: Google Sites, Shared Drives (alternatives to SharePoint)
  • Communication and Collaboration: Google Meet, Google Chat (alternatives to Microsoft Teams)
  • Conversational AI: Google Gemini

Exporting/downloading data from your account on the unmanaged hawaii.edu Microsoft domain

Data and files can be stored in a variety of applications. For most O365 applications, files are available to be downloaded centrally via OneDrive, but some other applications may require additional steps. We recommend starting by downloading any data you’d like to retain from OneDrive, then checking other apps that you may use for any remaining data that was not visible in OneDrive and downloading/exporting data for those apps accordingly.

Exporting/downloading data from OneDrive

  1. Log into the OneDrive web interface by visiting .
  2. Click on My files from the left-hand menu.
  3. Select any files or folders you’d like to export/download by selecting the checkbox next to the file or folder.
  4. To select all files, select the checkbox in the header menu next to the File icon and Name header.
  5. Click Download.
  6. Your files will be downloaded to your device.

Exporting/downloading data from OneNote

  1. In a web browser, go to OneNote for the web.
  2. On the screen that opens, select the notebook you want to export and right-click it.
  3. From the menu select Export notebook.
  4. A new pop-up will appear showing you the size of the notebook you want to download. To confirm, click Export.

Exporting/downloading data from Lists

  1. In a web browser, go to Lists.
  2. Open a list that you would like to export.
  3. In the header row, click on Export.
  4. From the export menu, select Export to CSV.
  5. Exported CSV files are compatible with either Microsoft Excel or Google Sheets.

Removing an unmanaged hawaii.edu Microsoft account from your Windows device

If you log into a Windows device using your unmanaged hawaii.edu Microsoft account, we HIGHLY recommend you switch to using a local account. Failure to do so may result in you being unable to log into your Windows device after unmanaged hawaii.edu Microsoft accounts are deprovisioned.

  1. Open the Settings app on your Windows device.
  2. Select Accounts > Your info
  3. Select Sign in with a local account instead. You will only see this link if you’re logging in using a Microsoft account.
  4. Enter the username, password, and password hint that you’ll like to use to log into your device as a local account. This will be the password to your new local account, do not forget this password.
  5. Select Next, then select Sign out and finish. Sign back in using your new local account with the password you set up in the step above.

If you are unable to find a Sign in with local account instead button/link, you may need to follow these instructions:

  1. On your keyboard, press the Windows key + R to open the Run dialog.
  2. In the text box, type the following command with no quotes: "ms-settings:otherusers"
  3. If there are no other user accounts indicated with Administrator access, you will need to add a new Administrator user. If there is at least one other Administrator user, you can proceed to step 4.
    • Next to "Add other user" click Add account
    • Enter the new account's username
    • Enter the new account's password (remember this password)
    • Enter three security questions for the new account
    • Click Next.
    • Click on the new account you created.
    • Click Change account type
    • Switch the Account type from Standard User to Administrator
    • Click OK
  4. On your keyboard, press the Windows key + R to open the Run dialog.
  5. In the text box, type the following command with no quotes: "ms-settings:workplace"
  6. Press enter or click OK. This should open a Settings window labelled Access work or school.
  7. Look for the "work or school account"
  8. Click it, then select Disconnect.
  9. Restart your device to complete the process.

Signing out of Microsoft Edge

If you use Microsoft Edge and are signed in using your unmanaged hawaii.edu Microsoft account, we recommend you sign out. You may sign in using a personal Microsoft account if you’d like to sync history and bookmarks/favorites. 

  1. Backup any favorites/bookmarks by clicking on the favorites icon in the toolbar
  2. Click the three dots icon (more options)
  3. Click Export favorites. Save your export to your device.
  4. Sign out of Edge by clicking on the account/profile icon in the toolbar.
  5. Click Sign out.
  6. Optionally, if you’d like to continue syncing your browser history and favorites/bookmarks, log in using a personal Microsoft account and re-import your exported favorites.

Will this change affect my 糖心Vlog官方 Username, my Google@糖心Vlog官方 account, or my 糖心Vlog官方 email address? Will my 糖心Vlog官方 Username be deprovisioned if I happen to have an account in the unmanaged hawaii.edu Microsoft domain?

No and no. 糖心Vlog官方 Usernames, Google@糖心Vlog官方 accounts, your 糖心Vlog官方 email (Google@糖心Vlog官方 gmail), and other related services are provided by the University to all active 糖心Vlog官方 users and these services will not be affected. In contrast, the unmanaged hawaii.edu Microsoft domain was created by Microsoft with no involvement by the University and had, in the past, allowed users to sign up for accounts on their own using their @hawaii.edu email addresses.

A user’s Microsoft domain account is distinct and separate from a user’s 糖心Vlog官方 Username, Google@糖心Vlog官方 account, 糖心Vlog官方 email address, and other services that are offered by the University. The deprovisioning of the Microsoft domain account on 11/03/2025 will not affect any of those services.

What if I have an account on the unmanaged hawaii.edu Microsoft domain, but I have no data that I want to keep?

In that case, you do not need to take any action.

What if I log into my personal computer, laptop, or another Windows device using my unmanaged hawaii.edu Microsoft domain account?

You must follow the instructions above to remove an unmanaged hawaii.edu Microsoft account from your Windows device, and change to logging into your Windows device using a local account. Failure to do so may result in you being unable to log into your Windows device after unmanaged hawaii.edu Microsoft accounts are deprovisioned.

What if there’s an O365 service or app on the Microsoft domain that I want to download/export data for, but it’s not listed here and the data wasn’t available to download using OneDrive?

Microsoft’s support portal () may have information for downloading or exporting data for other O365 apps.

What if I still want to use Office 365?

Option 1: Use  services available to all 糖心Vlog官方 users

All 糖心Vlog官方 users are provided with accounts and can use the Google Workspace suite of productivity apps (Docs, Sheets, Slides, etc.). These apps are compatible with Microsoft Office formats and can export to Microsoft Office formats.

Option 2: Sign up for a personal Microsoft account to use Microsoft's free, web version of O365

If Microsoft's own Office suite is desired, all users are eligible to use Microsoft O365 apps on the web with a personal Microsoft account (not associated with a 糖心Vlog官方 email address). Microsoft O365 on the web is a free, browser-based version of Microsoft Office. To sign up for a personal Microsoft account and use free O365 apps on the web, visit .

Option 3: Purchase a Microsoft 365 license with an education discount

Students who would like an installed version of Microsoft Office can purchase a Microsoft 365 subscription at an educational discount from Microsoft or the 糖心Vlog官方 Bookstore.

  •  discounted subscription licensing for college students directly from Microsoft.
  •  (For 1 person) or Microsoft 365 Family (1-6 people) subscription licensing directly from Microsoft.

Option 5: Explore free, open-source alternatives to Microsoft Office

There are several free, open-source alternatives to Microsoft Office available for most platforms. Examples include The Document Foundation's or its predecessor, Apache's . These programs offer installable applications and boast broad compatibility with Microsoft Office document formats (able to open, read, write, and save .docx, .xslx, .pptx, etc. formats). 糖心Vlog官方 our Open Source Software Alternatives article for more information about some of these applications.

Is there an easy way to transfer my account or data from the unmanaged hawaii.edu Microsoft domain to a personal Microsoft account?

Unfortunately, there is no quick and easy way to do this. You will need to manually download/export your data from your account on the unmanaged hawaii.edu Microsoft domain, then upload that data to your personal Microsoft account.

My campus provides Microsoft 365 for education to students, faculty, and, staff. Will my campus-specific Microsoft account be impacted?

糖心Vlog官方 West Oahu, Honolulu Community College, Leeward Community College, and Windward Community College have contracts with Microsoft to license their users for Microsoft 365 for Education. Active 糖心Vlog官方 faculty, staff and students at these campuses are eligible to use Microsoft Office applications through the Microsoft 365 for Education program with their campus-specific Microsoft accounts. These accounts are separate and distinct from accounts on the unmanaged hawaii.edu Microsoft domain and will not be impacted by the deprovisioning of accounts on the unmanaged hawaii.edu Microsoft domain on 11/03/2025.

When logging in to a Microsoft site, I'm prompted to choose between a "Work or school account" and a "Personal account". What's the difference and how will these accounts be affected?

It is possible to have two types of Microsoft accounts associated with your @hawaii.edu address. A "personal account" and a "work or school account".

The "work or school account" is the account associated with the unmanged hawaii.edu Microsoft domain and is the account that will be deprovisioned on 11/03/2025 as part of the change by ITS to assume administrative control over the domain. To tell if you have an affected account associated with the unmanaged hawaii.edu Microsoft domain, please see the How to check if you are affected section above.

The "personal account" is a personal Microsoft account that is not associated with the unmanaged hawaii.edu Microsoft domain. This type of account is similar to what you would get if signing up for Microsoft services using a third-party email account or when creating an @outlook.com account. While personal accounts will not be impacted by the changes described above, ITS does recommend that users with a personal Microsoft account tied to their @hawaii.edu email address add a personal email address to help more easily identify that account as a personal account. How do I check which version of Microsoft Office I have?

Windows:

  1. Open Microsoft Word
  2. Open a new or existing document
  3. Select File and then select Account
  4. Look under Product Activated

macOS:

  1. Open Microsoft Word
  2. On the macOS menu bar, select Word and select About Microsoft Word
  3. Look next to License
